Research status: Researched only. Vettlume reviewed current HubSpot product, pricing, support, privacy, AI, and legal documentation. We did not conduct hands-on product testing for this review. HubSpot Free CRM can be a practical starting point for a solo business owner or a two-person team that wants to organize contacts, companies, deals, tasks, meetings, forms, and basic marketing activity without an immediate subscription charge. The important qualification is that HubSpot Free is not a small version of every paid HubSpot product. It is one free edition containing limited features from HubSpot's broader customer platform. Current official documentation sets the Free edition at up to two users, up to 1,000 contacts, one deal pipeline, 2,000 marketing-email sends per calendar month with HubSpot branding, 200 email-tracking notifications per month, three email templates, three snippets, one branded personal meeting link, and ten reporting dashboards with up to 50 reports per dashboard. Older HubSpot promotional material and some secondary reviews have described unlimited free users or one million free contacts; the current Product & Services Catalog is treated as authoritative, and its one-million figure applies to other standard object types rather than contacts. HubSpot Free is most attractive when a very small business wants one system that can eventually connect sales, marketing, service, content, and customer data. It is less attractive when the business only needs a simple visual pipeline, requires more than two active users, needs advanced automation immediately, or values predictable low-cost expansion over platform breadth. The correct upgrade decision begins with a specific operational need. More users, multiple pipelines, sales sequences, sophisticated workflows, advanced reporting, forecasting, granular permissions, higher marketing volume, advanced segmentation, lead scoring, unbranded customer-facing tools, direct technical support, custom objects, or more AI-agent usage can require a paid Hub, specialized seat, contact tier, onboarding service, credit capacity, or add-on. A business should not upgrade merely because HubSpot offers more features. HubSpot pricing cannot be reduced to one headline monthly number. Current documentation says HubSpot may use eligible customer data to train its own AI models; Super Admins can opt out at account level, the setting is described as on by default, and the opt-out applies prospectively. HubSpot separately states that third-party AI service providers may not use customer data for their model training and that zero retention is enforced wherever possible.
